Cortex Online Academy – Terms & Conditions

1. Identification of the Academy

2. Purpose

These Terms and Conditions set out the rules for the use of Cortex Online Academy’s website, learning platforms, and educational services. By accessing our platforms or enrolling a pupil, users agree to comply with these Terms.

3. User Eligibility

  • Pupils must meet age and admission requirements.
  • Parents or legal guardians are responsible for minors under their care using the Academy’s services.
  • By enrolling, parents confirm they have the legal right to register the pupil and accept these Terms.

4. Account Registration

  • Certain services require creating a user account.
  • Users must provide accurate, current, and complete information.
  • Account credentials must be kept confidential, and users are responsible for all
    activity under their account.

5. Course Enrollment and Access

  • Pupils receive a personal, non-transferable license to access course materials.
  • Content is for individual use only. Copying, sharing, or redistributing is prohibited.
  • The Academy may restrict, suspend, or terminate access in cases of misuse or breach of these Terms.

6. Fees and Refunds

  • Tuition fees and payment schedules are set out at enrolment and on the Academy website.
  • Fees cover educational access, learning platforms, resources, administration, and
    support.
  • Refunds are available according to the Cortex Online Academy Refund Policy (see below).

Homeschooling Program Refunds:

  • Day 1–7: Full refund of tuition fees paid.
  • Day 8–14: Tuition fees refunded minus a £100 administrative fee.
  • After Day 14: No tuition fee refunds.
  • Parents are jointly and severally liable for all fees and costs. Non-payment may result in suspension from classes or platforms.

7. User Conduct

Users must act responsibly and respectfully. Prohibited actions include:

Pupil Data:

  • Harassment, bullying, or disruptive behaviour
  • Hacking, bypassing, or interfering with systems
  • Uploading viruses or malicious software
  • Misuse of content or personal data

Parents/guardians must monitor pupils’ use and ensure compliance with these Terms.

8. Intellectual Property

All content, platforms, software, logos, and materials are protected by UK and international IP law. Users may not reproduce, distribute, or modify content without written consent.

9. Privacy and Data Protection

  • Personal data is collected, stored, and processed in accordance with our Privacy Policy.
  • Special category data (e.g., health, safeguarding) is processed as permitted by law.
  • Data may be shared with regulatory bodies, exam boards, health professionals, and service providers where necessary.

10. Safeguarding and Child Protection

  • Safeguarding applies at all times, including online and remote learning.
  • The Academy maintains secure systems, staff training, reporting procedures, and ageappropriate guidance.
  • Concerns must be reported to the Designated Safeguarding Lead (DSL).

11. Limitation of Liability

  • Educational services are provided “as is”; outcomes are not guaranteed.
  • The Academy is not liable for indirect or consequential losses, technical errors, or
    interruptions.

12. Third-Party Links

The Academy is not responsible for content, privacy, or accuracy of third-party websites linked from its platforms. Users should review third-party terms before use.

13. Cookies

  • The Academy uses cookies and similar technologies.
  • Please refer to the Cortex Online Academy Cookies Policy for details.

14. Termination of Access

The Academy may suspend or terminate accounts for breaches, non-payment, or
inappropriate conduct. Termination does not relieve obligations to pay outstanding fees.

15. Governing Law and Jurisdiction

These Terms are governed by UK law. Any disputes are subject to the exclusive jurisdiction of the Courts of England and Wales.

16. Changes to Terms

The Academy may update these Terms at any time. Significant changes will be
communicated via email or posted on the website. Continued use constitutes acceptance of revised Terms.
