Cortex Online Academy – Refund & Fees Policy

1. Introduction

This Refund & Fees Policy forms part of the Terms and Conditions of Cortex Online Academy (the “Academy”). By enrolling a pupil, parents or legal guardians agree to the terms set out below.

All fees are payable in accordance with the fee structure published on the Academy’s website or communicated during enrolment. Fees cover access to educational services, learning platforms, teaching resources, administration, and support services.

Refunds are available only in the limited circumstances described in this policy.

2. Homeschooling Programmes – Refund Policy

Cortex Online Academy offers online education from Primary School through Sixth Form. Tuition fees are subject to the following refund structure:

2.1 Cancellation within the First 7 Days

  •  If a pupil withdraws within the first 7 days of enrolment, a full refund of tuition fees paid will be issued.

2.2 Cancellation Between Days 8–14

  • If a pupil withdraws between Day 8 and Day 14, tuition fees will be refunded minus a £100 administrative fee.

2.3 Cancellation After Day 14

  • No refund of tuition fees will be provided after the first 14 days of enrolment.

3. Fees, Increases, and Payment Obligations

  • Fees and any additional expenses payable, and the timing of such payments, are set out on the Academy website or communicated during enrolment.
  • The Academy makes reasonable efforts to keep fees stable each academic year.
  • However, the Academy reserves the right to increase fees at any time. Where applicable, at least 30 days’ noticewill be provided before any increase takes effect.
  • The liability to pay fees and all other expenses is the joint and several liability of all persons who have signed or accepted the Academy’s Terms and Conditions.

4. Non-Payment of Fees

  • A pupil whose fees have not been paid in full, or in accordance with an agreed payment plan, may be excluded from classes or platform access until full payment is made.
  • Parents or guardians are responsible for all costs incurred in recovering unpaid fees, including administrative costs, legal fees, and associated charges, regardless of the value of the claim.

5. Additional Subjects and Services

  • Fees paid for additional subjects, tutoring, or optional services are nonrefundable once tuition has commenced, even if the pupil later discontinues those services.

6. Confirmation of Entry Fee (Deposit)

  • The Confirmation of Entry Fee is a deposit payable to secure a pupil’s place.
  • This fee is refundable only upon:
  • Completion of the academic year;
  • Receipt of public examination results (where applicable); and
  • Full payment of all outstanding fees.
  • For non-UK resident pupils, the Confirmation of Entry Fee is equal to one full term’s fees.

7. How Refunds Are Processed

  • Approved refunds will be processed using the original payment method where possible.
  • Administrative fees and retained amounts will be deducted before payment.
  • Refund processing times may vary depending on the payment provider and banking institutions.

8. Policy Updates

  • The Academy reserves the right to update or amend this policy at any time to reflect operational changes or regulatory requirements.
  • Significant changes will be communicated through email or posted on the Academy website.
  • Continued use of Academy services constitutes acceptance of the revised policy.
